EvolvingRPG respects the privacy of its readers and community members. This Privacy Policy explains what information we collect when you visit EvolvingRPG, create an account, participate in discussions, or contact us, as well as how that information is used and protected.
Throughout this policy, “EvolvingRPG,” “we,” “us,” and “our” refer to the EvolvingRPG website and its operators.
Information We Collect
Information You Provide
When you create an EvolvingRPG account, we collect information necessary to create and maintain that account, including your username, email address, and display name.
Passwords are handled through WordPress’s authentication system. We do not display or store your password in readable form.
If you leave a comment on an article, we collect the content of your comment and associate it with your registered EvolvingRPG account. WordPress may also record technical information associated with the comment, such as the IP address and browser user-agent information.
If you use our Contact form, we collect the information you choose to provide, including your name, email address, reason for contacting us, subject, and message.
The EvolvingRPG Contact system sends this information by email so that we can review and respond to your message. The Contact plugin itself does not save submitted contact messages in the WordPress database.
Please do not send passwords, account credentials, financial information, health information, or other sensitive personal information through the Contact form.
Account Information and Comments
EvolvingRPG requires users to create an account and log in before posting comments.
We use account information to authenticate you, associate comments and other community activity with your account, provide account-related features, and protect the site from abuse.
Comments may remain on EvolvingRPG unless they are removed by a moderator or deleted in response to an appropriate request. Removing an account does not necessarily require us to remove discussion content where retaining the comment is appropriate, although personally identifying account information may be anonymized or removed where applicable.
We may moderate, edit, restrict, or remove comments in accordance with our Terms of Use and community rules.
Avatars
Registered EvolvingRPG users may choose from locally hosted preset avatars. The selected avatar is stored with the user’s account so it can appear with comments and other account activity. Site administrators may also assign a custom avatar from the EvolvingRPG Media Library to an individual account. EvolvingRPG avatar images are served locally by this website and our avatar system does not use Gravatar to retrieve user profile images.
Contact Messages
When you contact EvolvingRPG through our Contact page, your message is delivered to us by email.
We use the information you provide only as reasonably necessary to review your inquiry, respond to you, investigate a correction or technical issue, or otherwise address the reason you contacted us.
Contact messages may remain in our email system for as long as reasonably necessary to handle the correspondence, maintain appropriate records, or protect the site and its operators.
We do not use Contact-form submissions to place you on a marketing or newsletter list without your permission.
Security and Fraud Prevention
EvolvingRPG uses security tools to protect the website, its users, and its infrastructure.
Wordfence
We use Wordfence for firewall protection, malware scanning, login protection, abuse detection, and other website-security functions.
Wordfence may process or record technical information such as IP addresses, requested URLs, timestamps, browser/user-agent information, login attempts, and security events. Depending on our configuration, approximate geographic information may also be derived from an IP address for security purposes.
Wordfence’s Live Traffic feature records server-level request information, and Wordfence provides controls for how much traffic information is retained and for how long.
We use this information for security purposes rather than advertising or behavioral profiling.
Google reCAPTCHA
EvolvingRPG uses Google reCAPTCHA v3 on account and Contact forms to help distinguish legitimate users from automated abuse, spam, and fraudulent activity.
reCAPTCHA processes technical information associated with your interaction with the site for security, fraud, and abuse prevention. Google currently acts as a data processor for reCAPTCHA customer data under its applicable service terms. The _grecaptcha cookie may also be used as part of the service.
Our own EvolvingRPG account and Contact systems also use temporary anti-abuse controls. These systems may derive a one-way, salted identifier from an IP address for short-term rate limiting. These identifiers expire automatically after a short period and are not intended to identify individual visitors.
Cookies
EvolvingRPG uses cookies and similar technologies when necessary to operate the website.
WordPress uses cookies to determine whether a browser accepts cookies and to authenticate registered users. When you log in, WordPress sets cookies that identify your logged-in session and, if you choose Remember Me, allow that session to persist for a longer period.
Wordfence may also use security-related cookies for logged-in users so that its firewall can determine user capabilities and apply appropriate security protections.
Google reCAPTCHA may use the _grecaptcha cookie as part of its security and abuse-prevention service.
Disabling necessary cookies may prevent account login or other site features from working correctly.
Website Logs and Technical Information
Like most websites, EvolvingRPG and its hosting and security systems may automatically receive technical information when your browser connects to the site.
This may include your IP address, browser type, device information, requested page, date and time of the request, referring page, response status, and information necessary to diagnose errors or detect malicious activity.
We use this information to operate, secure, troubleshoot, and improve the website.
Site Backups
EvolvingRPG creates website backups for disaster recovery and security purposes.
Because backups contain copies of portions of the website at a particular point in time, they may temporarily contain account information, comments, and other information that existed on the site when the backup was created.
Backups are used for site recovery and administration rather than for profiling or marketing.
How We Use Information
We use information collected through EvolvingRPG to operate and maintain the site; provide and secure user accounts; allow registered users to participate in discussions; respond to messages and support requests; investigate factual corrections and technical problems; detect spam, fraud, abuse, and malicious activity; maintain backups and recover from technical failures; enforce our Terms of Use; and comply with legal obligations when applicable.
We do not sell personal information.
We do not use information submitted through the Contact form to send unsolicited marketing communications.
Service Providers
We use third-party service providers where necessary to operate and secure EvolvingRPG. These may include our website hosting provider, email-delivery infrastructure, Wordfence/Defiant for website security, and Google reCAPTCHA for spam and abuse prevention.
These providers may process information on our behalf when necessary to provide their services.
We may also disclose information where reasonably necessary to comply with law, protect EvolvingRPG or its users, investigate abuse or fraud, or respond to a valid legal request.
Links and Embedded Content
EvolvingRPG articles may link to websites operated by game publishers, convention organizers, retailers, creators, or other third parties.
Those websites operate independently from EvolvingRPG, and their privacy practices are governed by their own policies.
Some EvolvingRPG content may also include embedded material from third-party services. Embedded content can behave as though you visited the provider’s website directly and may allow that provider to collect information according to its own practices.
How Long We Keep Information
We retain information only for as long as reasonably necessary for the purpose for which it was collected, site operation and security, appropriate recordkeeping, dispute resolution, or legal requirements.
Account information normally remains while an account is active.
Comments may remain as part of the public discussion record unless removed or anonymized where appropriate.
Contact correspondence may remain in our email system for as long as reasonably useful for the correspondence or related records.
Security logs are retained according to our security configuration and may be automatically deleted after their configured retention period.
Short-lived EvolvingRPG anti-abuse rate-limit identifiers expire automatically.
Your Choices and Rights
You may contact us to request access to, correction of, or deletion of personal information associated with your EvolvingRPG account, subject to information we may appropriately retain for security, legal, or administrative reasons.
WordPress also provides administrative tools for exporting and erasing personal data associated with users and commenters.
Depending on where you live, privacy law may provide additional rights concerning your personal information.
To make a privacy-related request, please use our Contact page and indicate that your message concerns privacy or account data.
We may need to verify your identity before processing certain requests.
Children’s Privacy
EvolvingRPG is a general tabletop role-playing game website and is not designed to intentionally collect personal information from young children.
If you believe a child has submitted personal information to EvolvingRPG in a manner that requires parental consent under applicable law, please contact us so that we can review the situation and take appropriate action.
Data Security
We use reasonable technical and administrative safeguards designed to protect EvolvingRPG and the information entrusted to it, including firewall protection, login security, anti-spam measures, account authentication, backups, and restricted administrative access.
However, no website, network, or electronic storage system can guarantee absolute security.
Changes to This Privacy Policy
EvolvingRPG will evolve, and the services offered through the site may change over time.
We may update this Privacy Policy when we introduce new features, change service providers, modify how information is handled, or when legal or security considerations require an update.
When we make material changes, we will update the Last Updated date at the top of this page.
